GSTR-1 vs GSTR-3B: what every Indian business should know

If you're registered under GST, two return names dominate your month-end: GSTR-1 and GSTR-3B. They're often confused, filed in a rush, and — when they don't agree — a source of notices. This post explains what each one is for, how they fit together, and how to keep them reconciled without stress.

The one-line difference

  • GSTR-1 is the detailed statement of your outward supplies — every sale, invoice by invoice.
  • GSTR-3B is a summary return of your total outward supplies, input tax credit (ITC) and net tax payable — and it's where you actually pay.

Think of GSTR-1 as declaring what you sold, and GSTR-3B as settling what you owe.

GSTR-1 in a bit more detail

GSTR-1 reports outward supplies for the period, broken into tables the GST system understands:

TableWhat it captures
B2BSales to registered parties (with GSTIN), invoice-wise
B2C (Large / Small)Sales to unregistered parties
CDNR / CDNURCredit and debit notes
HSN summaryRate-wise totals by HSN/SAC code
Documents issuedYour invoice number ranges

Because it's invoice-level, GSTR-1 is what feeds your customers' input tax credit. If you under-report or mis-report here, your B2B customers can't claim the credit they're due — which quickly becomes a relationship problem, not just a compliance one.

GSTR-3B in a bit more detail

GSTR-3B is a self-assessed summary. You report:

  • 3.1 — outward taxable supplies (totals, not invoices).
  • 3.2 — inter-state supplies to unregistered / composition parties.
  • 4 — eligible input tax credit from your purchases.
  • 5 — exempt, nil-rated and non-GST inward supplies.
  • 6.1net tax payable after offsetting ITC, and the payment.

This is the return where liability is discharged. Get the ITC section right and you don't pay a rupee more than you should; get it wrong and you either overpay or invite scrutiny.

How they relate — and why they must agree

Here's the crux: GSTR-1 and GSTR-3B describe the same outward supplies from two angles. GSTR-1 lists them in detail; GSTR-3B summarises them. So the outward tax you declare in GSTR-1 should reconcile with the outward tax you summarise in GSTR-3B for the same period.

The tax authorities compare these two returns (and your GSTR-2B/ITC data). Persistent mismatches are one of the most common triggers for a GST notice. The fix is not heroics at filing time — it's clean books and a simple monthly reconciliation.

Keeping them reconciled: a monthly routine

The reliable way to stay out of trouble is to let both returns come from the same underlying vouchers, then cross-check. With Acronix Books, that looks like:

  1. Enter everything — all sales, purchases, credit notes and debit notes, correctly dated in the period.
  2. Generate GSTR-1, review the tables, and reconcile the total taxable value against your Profit & Loss sales for the same dates. A gap almost always means a missing or mis-dated invoice.
  3. Generate GSTR-3B, and confirm its outward figures tie back to GSTR-1 and its ITC ties back to your purchase register.
  4. Export both to Excel for the portal / offline utility, file, and pay.
  5. Back up the filed month.

Because both returns are built from the same encrypted local book, they start out consistent — reconciliation becomes a quick confirmation rather than an investigation. The full click-by-click process is in the GST filing guide, and getting HSN codes and tax categories right up front is covered in tax setup.

Common mistakes to avoid

  • Mis-dating invoices across period boundaries, so GSTR-1 and GSTR-3B fall out of sync.
  • Wrong place of supply, flipping CGST + SGST and IGST — this is state-driven, so check both your state and the party's.
  • Claiming ITC not reflected in your GSTR-2B, which the portal will flag.
  • Forgetting credit/debit notes, which must reverse the original invoice tax.

The takeaway

GSTR-1 declares your sales in detail; GSTR-3B summarises and settles. They're two views of the same reality and must agree. Keep clean, correctly dated books, generate both from the same source, and reconcile every month — and GST filing turns from a monthly scramble into a ten-minute routine.
