A school’s books, kept properly

An institute’s accounting is not exotic: money comes in from families, goes out to staff and suppliers, and an auditor eventually wants to see all of it reconcile. What it does need is rigour — and access control, because fee data is sensitive.

  • Receipts & outstanding
  • Role-based access
  • Encrypted books
  • Audit log
  • Financial statements
The reality

What makes this trade different

Receipts scattered across registers

Collections recorded in books, spreadsheets and someone’s phone rarely agree at audit time.

Outstanding nobody can total

Knowing what is still due, against which receipt, is the single most-asked question in a school office.

Sensitive data on a shared computer

Fee ledgers sit on an office PC that several people use, and the file is usually readable by anyone who can copy it.

How Acronix handles it

Features that exist, doing the actual work

Everything below is in the build you can download today.

Receipts against bills

Every receipt allocates against specific outstanding bills, so "what is still due" is a report rather than an argument.

Role-based access control

Five roles from Viewer to Owner. An office clerk can record receipts without being able to void them or edit masters — enforced in the backend, not just hidden in the UI.

Encrypted books and a tamper-evident audit log

The database is encrypted on disk, and privileged actions are written to a hash-chained audit log that makes out-of-app edits detectable.

Real financial statements

Trial Balance, Income & Expenditure via P&L, Balance Sheet and Cash Flow — exportable for the auditor.

The honest comparison

Moving from older accounting software?

Where Acronix is genuinely different — and where the tool you have already does the job. No invented weaknesses.

  • Data at rest
AES-256 encrypted file — unreadable if the disk is copied
Usually a plain local data folder
  • Switching machines
Sign in on the new device and your books sync down
Surrender the licence, copy a backup, restore by hand
  • Working offline
Fully offline-first — no internet needed to run
Offline too, but cloud backup is bolt-on
  • Keyboard-first entry
Every action has a shortcut; hands never leave the keys
Keyboard-driven — the one thing they got right
  • The interface
A modern, high-density UI built this decade
    Functional, but a 1990s screen
  • GST suite
    GSTR-1, 3B, e-invoice, e-way bill from the same vouchers
    Present, often as paid add-ons

Questions

Education — questions, answered

Can I record fee receipts against specific outstanding bills and see what is still due?

Yes. Every receipt allocates against the specific bills it clears, so "what is still due, against which receipt" — the most-asked question in a school office — is a report you open rather than an argument across three registers.

Can an office clerk record receipts without being able to void them or edit masters?

Yes. Role-based access runs from Viewer to Owner across five roles, and it is enforced in the backend, not just hidden in the UI. A clerk can take receipts while voids and master edits stay with the roles you reserved them for.

Is the fee data safe on an office computer several people use?

The database is SQLCipher (AES-256) encrypted on disk, so a file copied off the PC is unreadable bytes. Privileged actions are also written to a hash-chained audit log, which makes an out-of-app edit detectable.

What can I hand the auditor at year end?

Trial Balance, Income & Expenditure via the P&L, Balance Sheet and Cash Flow, all exportable to PDF or Excel — a proper double-entry set rather than a stack of receipt books.

If we have taxable activities like transport or the sale of uniforms, is GST billing available?

Yes, in the single plan. The full GST suite — GSTR-1, GSTR-3B, HSN-wise summaries and e-invoice — is there when an institute has taxable supplies to bill, driven by the same vouchers as everything else.

Does it run without the internet?

Yes. The book is a local encrypted database and the whole app runs offline on the office machine. Cloud sync is an optional encrypted backup, not a requirement to record a receipt.
